Is My Company Ready for Document Scanning Services?

Perhaps you’ve been asking yourself that very question every time you set down for a marathon session of scanning your business docs into the PC. Sure, you’re saving money by doing it yourself--or delegating the task to an employee--but could you be doing something more profitable with your time?

Driving the Document Scanning Trend
According to Yahoo! Finance, a combination of the effects of the economic stimulus package and the introduction of new technologies are stimulating interest in the document scanning revolution. For example, Lakewood, Colorado-based Records Nations has just recently assisted their 10,000th business in going paperless with their document scanning solutions.

The Benefits of Document Scanning Services
An article featured on ZD Net discusses the benefits of document scanning and why those tasks should be outsourced to scanning service professionals. In a nutshell, the costs and effort spent handling scanning in-house is typically larger than expected. Outsourcing to document scanning services vendors eliminates these unknowns and allows for tighter budgeting.

What You Don’t Know About Document Scanning
Vendorseek offers a unique FAQ on document scanning services that should be required reading for every CEO considering making the jump. In effect, the process is made simple by e-mailing documents to your processor. Data is then kept on tapes or in a virtual database that can be accessed at any time for reference or to backup lost files.

The bottom line is that document scanning services simplifies proper management of business-critical data.

This is one of those business trends that are inevitable. There WILL come a day when all paper is gone and edocs are the standard. I guess the real questions is 'when' and not 'if' you company will be ready to make the transition

Businesses are getting the message. In a recent Oce survey, executives report that imaging has among the highest return of document activities in terms of lowering cost, improving performance and enabling better focus on core business.

The compliance issue is also at stake here. Lose on piece of client/ customer data, and you're likely to face legal problems with respect to privacy and accountability. Having all records secure and portable can potentially negate the risk. Document scanning is here to stay.

One way to judge if your company is truly ready to take the plunge is to examine the cost/ benefit ratio. Your accounting department should be able to isolate this figure. Take a trial-run and reevaluate after a few months.

Great post on document imaging. Advances in scan-to-cloud technologies are now making the process much quicker and a lot more affordable. Some companies are even using barcode scanning to automate document indexing. This allows you to index and scan entire file folders directly to the cloud in seconds.

Also, for those that prefer to do the indexing on-screen, batch processing allows users to scan entire disorganized file folders directly to the cloud and index them from a web browser. You can split documents, move / add / delete pages, rotate pages and much more from a simple, hot-key controllable interface. This is a great solution for offices that may have found filing the old fashioned way a bit tedious.

Great post! Recently there was a fire at my office in Riviera Beach, which destroyed all my client records. Thankfully, a few months before the fire, I had all my documents scanned by Saxon Archives and that made the rebuilding process less stressful. Check out their website at www.saxonarchives.com
